Privacy Policy

This Privacy Policy explains how Casaway Capital, LLC, doing business as Dental Document ("Casaway", "we", "us") collects, uses, shares, and protects information through Aster AI: the website at asterdentalai.com, the application at app.asterdentalai.com, and the waitlist (together, the "Services"). If you do not agree with this policy, do not use the Services.

  • We collect what you give us and what is needed to run the Services.
  • We use it to provide Aster AI to you, to keep it secure, and to make it better.
  • We do not sell your personal information, and we do not share it for advertising.
  • We do not use your information to train AI models, and we do not allow our AI providers to do so.
  • You can ask us to access, correct, export, or delete your information at any time by writing to contact@asterdentalai.com.

Waitlist. Your name, email address, how you describe yourself (for example, associate or practice owner), the practice software you use, whether you use QuickBooks, and how you found us.

Account. Your name, email address, sign-in credentials (passwords are stored only in hashed form by our authentication provider), the user type you choose, your organization's name, and the people you invite and their roles.

Practice financial information. Information from accounts you choose to connect, such as QuickBooks Online and bank feeds, including accounts, transactions, vendors, reports, and balances. Practice totals that you upload, type in, or receive through the Dental Document practice management connector, such as production, collections, adjustments, receivables, and scheduling totals.

Career and personal financial inputs. If you use the career and ownership tools, the figures you enter, such as compensation, benefits, student loans, other debt, savings, credit range, and goals.

Documents. Files you upload, such as tax returns, profit and loss statements, production reports, fee schedules, leases, loan documents, employment agreements, and listings, and the information Aster AI extracts from them.

Your decisions and preferences. Goals, scenarios, decisions and their outcomes, approvals, and preferences you set, such as a cash floor or a target owner income.

Conversations. Questions you ask Aster and the responses.

Usage and device information. Pages and features used, actions taken, approximate location derived from IP address, browser and device type, and log and error data.

Cookies. We use cookies that are necessary to sign you in and keep your session secure. We do not use advertising cookies. If we enable analytics, it will be a privacy-respecting tool that does not track you across other sites.

What we do not want. Aster AI is designed to work without patient records. Please do not upload patient charts or documents that identify patients. Where account-level worklists are available, they travel from the Dental Document connector directly to your browser and are not received or stored by Aster AI. Aster AI keeps only counts and dollar totals of the work completed.

  • To provide the Services: compute metrics, reconcile sources, run models, produce briefings, reports, and recommendations, and carry out actions you approve.
  • To operate the waitlist and to tell you about access, launch, and product updates. You can unsubscribe from these emails at any time.
  • To secure the Services, prevent fraud and abuse, and debug problems.
  • To support you when you contact us.
  • To improve the Services, using aggregated and de-identified information wherever that is sufficient.
  • To comply with the law and enforce our Terms of Service.

AI processing. Aster AI uses AI models to write explanations and recommendations and to read documents. To do that, relevant portions of your information are sent to AI model providers acting as our service providers. They are bound to use it only to return results to us. We do not use your information to train AI models, and we do not permit our providers to. The figures you see are computed by our software, not written by an AI model.

Benchmarks. If we offer comparisons with other practices, they will use only aggregated, de-identified data, and your practice will be included only if you opt in.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only:

  • With service providers that host and run the Services for us under contracts that limit their use of it, including Supabase (database and authentication), Vercel (hosting), AI model providers, and email delivery providers.
  • With services you connect. When you connect an account such as QuickBooks Online, we exchange information with that service as needed to do what you asked, including writing a change to your books after you approve it.
  • With people you choose. Members of your organization see information according to the role you give them. Reports, offer memos, lender packets, and CPA packets go only to the recipients you select.
  • For legal reasons, when we believe in good faith that disclosure is required by law or legal process, or is needed to protect the rights, property, or safety of our users, the public, or Casaway.
  • In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.

We keep waitlist information until you ask us to remove it or until the waitlist is closed. We keep account information and Your Content for as long as your account is open. After you close your account or ask for deletion, we delete or de-identify your information within 30 days, and it leaves our backups within 90 days, unless the law requires us to keep it longer. When a deal you were evaluating is closed or abandoned, you can delete its documents and any seller connection at any time.

We protect information with encryption in transit and at rest, access controls that separate each organization's data at the database level, encrypted storage of connection tokens, and restricted staff access. No system is perfectly secure. If we learn of a breach affecting your information, we will notify you as the law requires.

You may ask us to access, correct, export, or delete your personal information, and you may disconnect any connected account at any time in the application. Depending on where you live, including under the Texas Data Privacy and Security Act and similar state laws, you may have additional rights, such as the right to appeal a decision we make about your request. We honor these requests for everyone, wherever you live. Write to contact@asterdentalai.com. We will respond within 45 days. We will not discriminate against you for exercising your rights. Because we do not sell personal information or use it for targeted advertising, there is nothing to opt out of in those categories.

The Services are for adults in a professional setting. We do not knowingly collect information from anyone under 18.

The Services are operated in the United States. If you use them from another country, your information will be processed in the United States.

We may update this policy. If a change is material, we will give reasonable notice by email or in the Services before it takes effect. The date at the top shows when it was last updated.
